1. About this policy

This Privacy Policy explains how Zajedno collects, uses and stores information when you use the Platform.

We aim to collect only information reasonably required to operate the service, maintain its financial and accountability records, protect the Platform and communicate with its users.

2. Information we may collect

Account information

When you create or use an account, we may store information including:

  • email address;
  • password in hashed form;
  • account status and role;
  • preferred language;
  • theme and interface preferences;
  • notification preferences; and
  • donation visibility preferences.

Funding and project activity

When you use funding features, we may record information including:

  • contributions and donations;
  • fund transfers;
  • project allocations and reclaims;
  • project funding settlements;
  • refunds or other recorded financial movements;
  • projects you support;
  • votes and project suggestions; and
  • related transaction references.

The Platform intentionally maintains a transaction history so that the movement of contributed funds can be traced and reviewed.

Bank and payment information

Where contributions or transactions are reconciled using bank statements or information supplied by a payment service, we may process information contained in those records for the purpose of identifying and confirming a transaction.

This may include transaction references, amounts, dates, payer information or descriptions supplied by the relevant bank or payment service.

Payment providers and banks may independently process additional information under their own privacy policies.

Project and communication information

We may store information you provide through:

  • project suggestions;
  • support tickets;
  • messages or requests;
  • project updates;
  • uploaded documents or images; and
  • other Platform forms.

Company and tender information

If you use the Platform as a company or bidder, additional information may be processed, such as:

  • company name;
  • registration or tax information;
  • company address;
  • telephone number;
  • website;
  • tender offers; and
  • documents submitted with an offer.

3. How we use information

Information may be used to:

  • create and administer accounts;
  • record and trace contributions and allocations;
  • operate funds and projects;
  • support voting and community participation;
  • reconcile transactions;
  • provide project and funding history;
  • send transactional and project notifications;
  • operate support services;
  • administer tender submissions where applicable;
  • prevent abuse and protect Platform security;
  • diagnose technical problems; and
  • comply with applicable legal obligations.

4. Public information

Part of the purpose of the Platform is to make community funding and project progress more transparent.

Fund information, project descriptions, funding progress, milestones, project updates, recorded expenses and other project information may therefore be publicly visible.

Whether a donor's identity is displayed publicly may depend on the donor's visibility preference and the configuration of the relevant feature.

Private account information such as your password hash and private account settings is not intended for public display.

5. Financial history

The Platform is designed around an append-only record of financial movements. This means that historical transaction records are generally not silently overwritten or removed simply because a later transaction changes the current position.

This design supports financial traceability, dispute resolution and accountability.

Where deletion or anonymization of personal information is requested, certain transaction information may still need to be retained where necessary for accounting, legal, security or legitimate record-keeping purposes.

6. Notifications

If notifications are enabled for your account, we may send service messages relating to your account, contributions, supported projects, project updates, milestones, tenders or other Platform activity.

You may be able to control optional email and in-app notification preferences from your account settings.

Some messages required for account operation or security, such as account verification, may need to be sent independently of optional notification preferences.

7. Cookies and local preferences

The Platform may use cookies or similar browser storage necessary for:

  • maintaining a signed-in session;
  • security and request protection;
  • remembering language preferences;
  • remembering theme preferences; and
  • other basic Platform functionality.

These technologies are primarily used to provide requested Platform functionality rather than for advertising.

8. Google Translate

The Platform may offer Google Translate as an optional translation service.

When Google Translate is loaded or used, your browser may communicate directly with Google and information may be processed by Google according to its own terms and privacy practices.

Automated translations are provided for convenience and may not accurately reproduce the original meaning of Platform content.

9. Sharing of information

We do not sell personal information.

Information may be made available where reasonably necessary to:

  • organizations or administrators responsible for relevant funds or projects;
  • service providers operating infrastructure, email or related Platform services;
  • banks or payment providers involved in a transaction;
  • competent authorities where disclosure is legally required; or
  • protect the rights, security or integrity of users or the Platform.

Access should be limited to information required for the relevant purpose.

10. Tender confidentiality

Where tender functionality is used, tender offers and accompanying private documents are not intended to become publicly accessible merely because they were submitted through the Platform.

Access to tender information may depend on the tender's status and the user's role in the relevant procurement process.

11. Data security

We use technical and organizational measures intended to protect Platform information against unauthorized access, alteration, disclosure or loss.

No internet service can guarantee absolute security. Users are also responsible for protecting their account credentials and devices.

12. Data retention

Information is retained for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, accountability, security, accounting and legal requirements.

Financial records, project records, tender records and other information that forms part of an accountability or transaction history may be retained for longer periods than ordinary profile information.

13. Your choices and rights

Depending on applicable law, you may have rights relating to your personal information, including rights to request:

  • access to information held about you;
  • correction of inaccurate information;
  • deletion of information where applicable;
  • restriction of certain processing;
  • objection to certain processing; or
  • a copy of certain information in a portable form.

These rights are not absolute. For example, some financial or transaction records may need to remain available where retention is legally required or necessary to preserve the integrity of the Platform's accountability records.

14. Children

The Platform is not specifically directed at children. Where applicable law requires parental or guardian authorization for use of the service or for making a contribution, that authorization must be obtained.

15. Changes to this policy

This Privacy Policy may be updated to reflect changes to the Platform, its services or applicable requirements.

The current version will be published on this page with its revision date.
